Privacy Policy

1. Overview

RecruitTruth (“we,” “us,” or “our”) is committed to protecting the privacy of athletes, parents, and coaches who use our Platform. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information. By using the Platform, you consent to the practices described here.

2. Information We Collect

Account Information: When you register, we collect your name, email address, account type (athlete or coach), and password (stored as a secure hash, we never see your plain-text password).

Athlete Profile Data: Sport, position, graduation year, height, weight, GPA, ACT/SAT scores, athletic statistics, awards, film links (Hudl, YouTube), social media handles, home state, geographic preferences, FAFSA/financial aid and Pell status, phone number, and a profile or card photo (if uploaded). Your phone number is used for account support and is visible to subscribing college coaches along with your other contact information. We also collect the email address of any high school or club coach who invited the athlete to the Platform via the team invite feature, which is used to link the athlete to that coach's roster.

Information About Coaches and Other Contacts: When an athlete lists a coach, when an athlete or coach shares a profile, or when a coach invites an athlete, we collect the recipient's email address and any name, school, and sport that was provided, together with a record of what was sent and who sent it. Coaches who respond to a verification request give us their verification responses and notes.

Email Delivery Data: Our email provider tells us when an email is delivered, bounces, or is reported as spam. We store bounces and spam reports with the address they relate to.

Coach Data: Institution name, sport, division level, position title, coach type (collegiate or high school/club), and subscription information.

Payment Information: Payments are processed by Stripe. We do not store your full credit card number. We retain transaction records (amount, date, product purchased) for billing and support purposes.

Usage Data: Log data including pages visited, features used, IP address, browser type, and timestamps. We use Google Analytics (GA4) and Vercel Analytics to collect aggregated, anonymized usage data. These services may use cookies and similar technologies to track interactions with the Platform. Google Analytics data is processed by Google in accordance with Google's privacy policy. Vercel Analytics data is processed by Vercel in accordance with Vercel's privacy policy. Neither service is used for advertising targeting. We also record, in our own database, which button started a checkout and which checkouts became purchases, so that we can see which parts of the site lead to purchases.

3. How We Use Your Information

  • To create and maintain your account and athlete profile.
  • To calculate your RT Score and determine division fit levels.
  • To display your profile to subscribing collegiate coaches and, where applicable, to the high school or club coach whose roster you are linked to.
  • To monitor profiles for data integrity and flag suspicious changes.
  • To process payments and deliver purchased reports or services.
  • To send transactional emails (receipts, password resets, score updates) and notifications about activity on your profile.
  • To send athletes onboarding guidance and product updates, and to send coaches introductions, verification requests and reminders, invitations to create a free coach account, and profile shares. Each of these emails other than essential account and purchase messages includes an unsubscribe link.
  • To let coaches and athletes share an athlete's profile by email, and to keep a record of those shares.
  • To protect email deliverability and prevent abuse, including by stopping email to addresses that bounce, are reported as spam, or have unsubscribed.
  • To measure which parts of the Platform lead to purchases.
  • To improve the Platform through aggregate, anonymized analytics.

4. Who Sees Your Data

Collegiate Coach Subscribers: Athletes' profile data, including name, sport, position, RT Score, division fit levels, statistics, GPA, financial aid status, contact information, and film links, is visible to coaches who hold an active paid collegiate subscription. This is the core function of the Platform and is consented to when an athlete creates a profile.

High School and Club Coaches (Free Tier): Athletes who are linked to a high school or club coach's roster — either by registering through a coach's invite link or by being manually added — have their profile data visible to that specific HS/Club coach. HS/Club coaches have read-only access limited to their own roster athletes. Your profile is not visible to HS/Club coaches outside your roster.

Profile Shares: A coach (or an athlete, for their own profile) can email a summary of an athlete's profile to another coach. The person sharing chooses what to include from your RT Score, division fit, statistics, measurables, academics, awards, Pell status, recruiting status, bio, and film notes, and may add a personal note. Shares do not include your email address, phone number, or parent or guardian information. The recipient may not be a RecruitTruth user, and we do not control what the recipient does with the information. We keep the recipient's email address and a record of the share. You may not be notified of each share. To have your profile hidden from coaches, which also prevents it from being shared, contact support@recruittruth.com.

RecruitTruth Staff: Our team may access profile data for the purposes of integrity review, customer support, and Platform operations.

Service Providers: We use Supabase (database and authentication), Stripe (payments), Resend (email delivery, including transactional, notification, onboarding, outreach, and profile-share emails, and reports of bounces and spam complaints), Google Analytics (usage analytics), and Vercel (hosting and analytics). Each is bound to use your data only to deliver services to us. Google Analytics and Vercel Analytics receive anonymized usage data only; they do not receive your profile data or personally identifiable athletic information.

We do not sell your personal information to third parties. We do not share your data with advertising networks.

5. Data Retention

We retain your account and profile data for as long as your account is active. If you ask us to delete your account, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes such as fraud prevention or legal compliance. We keep an email address on our unsubscribe and bounce lists after deletion so that we do not email it again, and we may keep records of profile shares and verification responses that involve other people.

6. Children's Privacy (COPPA)

We are aware that many athletes using this Platform are minors. The Platform is for people 13 and older, and we do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it. Athletes between 13 and 17 should use the Platform with parental awareness and consent. Parents may contact us at support@recruittruth.com to review, modify, or delete their child's data, or to have their child's profile hidden from coaches.

7. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the data we hold about you.
  • Correction: Update inaccurate information through your profile or by contacting us.
  • Deletion: Request deletion of your account and personal data.
  • Portability: Request your data in a portable format.
  • Opt-out: Unsubscribe from non-essential emails at any time with the unsubscribe link in the email. Ask us to hide your profile from coaches, which also stops it from being shared.

8. Security

We use industry-standard security measures including encrypted connections (HTTPS), hashed passwords (bcrypt), and access-controlled databases. While we work to protect your data, no system is completely secure. We encourage you to use a strong, unique password for your account.

9. Cookies and Analytics

We use session cookies and local storage to maintain your login state and improve your experience.

Google Analytics: We use Google Analytics (GA4) to understand how visitors use the Platform. Google Analytics places cookies on your device and collects anonymized data such as pages visited, session duration, and general geographic region. This data is used solely to improve the Platform. It is not used for advertising targeting. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Vercel Analytics: We use Vercel Analytics to measure Platform performance and usage patterns. Vercel Analytics is privacy-friendly and does not use persistent tracking cookies or collect personally identifiable information.

We do not use advertising or retargeting cookies. You can disable cookies in your browser settings, but some Platform features may not function correctly without them.

10. State Privacy Rights

This Privacy Policy applies to everyone who uses the Platform, wherever they live. Some states, including California, Colorado, Connecticut, Oregon, Texas, Utah, and Virginia, give residents additional rights over their personal information. To the extent those laws apply to us, residents of those states may:

  • Confirm whether we process their personal information and ask for access to it.
  • Ask us to correct inaccurate information.
  • Ask us to delete their personal information.
  • Ask for a copy of their information in a portable format.
  • Opt out of the sale of personal information, targeted advertising, and profiling that has legal or similarly significant effects.

What we do and do not do. We do not sell personal information, we do not share it with advertising networks or use it for targeted advertising, and we do not use it for profiling that has legal or similarly significant effects. Because of that, there is nothing to opt out of in those categories. The information described in Section 2 includes financial aid and Pell status and information about minors, which some state laws treat as sensitive. We collect it only to provide the Platform and use it only as this Policy describes.

How to make a request. Email support@recruittruth.com from the address on your account, tell us which right you want to use and your state, and we will verify your identity before acting. You may use an authorized agent; we may ask for proof of the agent's authority. We respond within 45 days, and where the law allows we may extend that once by up to 45 more days and will tell you why. We will not charge you for a request or treat you differently for making one. Parents and guardians may make requests for their minor children.

Appeals. If we decline a request, you may appeal by replying to our response or emailing support@recruittruth.com with the word “Appeal” in the subject line. We respond to appeals within the time your state's law requires. If you are not satisfied, you may contact your state attorney general.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. For significant changes, we will notify you by email or by a notice on the Platform.
